We’ve always worked hard to make sure our guests are safe and have a wonderful event experience. That’s why we’ve introduced some new guidelines to make sure safety and great service remain our top focus.

1. Physical distancing measures

We are taking a number of steps to facilitate social distancing including revising our capacities and layouts, creating one way routes with enhanced signage to guide your guests around our venues. We will support you with digitising delegate packs and registration processes and can provide event stewards to help maintain social distancing.

2. Cleanliness and hygiene

We’ve introduced rigorous new standards when it comes to cleaning. Dedicated cleaning staff will be onsite throughout your event paying particular attention to high touch point areas and high traffic areas such as toilets. Hand sanitising stations will be available throughout our venues, signage will remind your guests to follow good hygiene practices and we will maintain ventilation by opening windows.

3. Trained venue team

Our team have received training on the Covid-19 measures we have put in place so you can be confident they have the knowledge needed to work with you in planning and delivering your event. We will only have the necessary number of team members working on site at any one time.  Our team have the option to wear PPE and you are welcome to wear any of your own PPE on site.

4. Food and beverage

Serving good quality, mood boosting, healthy food still remains an important part of any event. To meet changing requirements for social distancing, we have reduced and adapted our menu to provide individually boxed snack and lunch options as well as a range of self-serve beverages. Our catering team will follow social distancing measures when serving you.

5. Technology & collaboration

We have a strong partnership with our local AV supplier who can provide a range of hybrid to fully virtual meeting options. As a collection of five venues we can coordinate multi-site events increasing your space capacity across our centrally located venues. We also work with other venues across the University of Oxford.

6. Flexible service & contract

We remain committed to helping our customers at this time and for that reason our prices remain the same in 2020. We will also honour the originally quoted price for any postponed events that take place before the end of 2021.

Risk assessments and running orders

Our venue risk assessments are being reviewed and updated with Covid-19 specific risks and will be available on request to you when you make a confirmed booking. All our staff have been trained in these and our assessments are supported by the University of Oxford’s safety office. Our running orders will also be updated to include all the agreed safety measures for your event.
