As part of the University of Oxford, OUEV has always had a strong commitment to the safety and wellbeing of our customers and our team.

We began a phased reopening of our venues in October 2020 and have been delighted to host a range of safe and successful events which you can read about here.

We are closely adhering to government guidance along with University policy.  Our approach is underpinned by best practice guidance from the Meetings Industry Association and Visit Britain, and we are delighted to have achieved both AIM Secure and We’re Good To Go accreditations.

At the current time, a range of our venues are open and we are hosting limited events in line with the relevant policy and guidance. We are accepting enquiries now for new bookings taking place after 1 March.

We look forward to welcoming you and want you to feel confident and comfortable booking events with us, and for your guests to feel safe and welcome. For this reason, we have developed our Six Step Commitment to Safe Events, a comprehensive set of measures to give you peace of mind.

Adapting our spaces to allow physical distancing up to 2m apart and enhancing our signage to guide you

Introducing more frequent cleaning regimes, improved ventilation and airflow, and hand sanitising stations to maintain a safe environment

Trained venue team

Training our staff in our new way of working to help coordinate your event and keep customers safe

Including new grab and go options to our bespoke menu, with the highest possible hygiene standards back and front of house

Supporting fully virtual and hybrid events giving you flexibility on delegate numbers and allowing you to reach all of your audience - no matter where they are located

Booking an event with us

We have introduced a few changes to our booking processes to help simplify booking an event during this time.

Site visits

Site visits will be available again from 1 March 2021.  In the meantime, we have a range of fantastic resources on our website to assist you in planning your event and our team will be happy to talk you through these.

Our adjusted menu has been carefully put together by our award-winning chefs to enable their teams to work safely and delegates to dine comfortably. Our menu offers hearty handcrafted individual options along with a range of hot and cold refreshments.


Capacity and floor guides

We have developed updated capacity information for the venues that are currently available to reflect physical distancing measures.


Risk assessments and running orders

Our venue risk assessments have been updated with Covid-19 specific risks and will be available to you when you confirm your booking with us. You will be required to submit to us your event risk assessment in advance of confirmed bookings taking place.  Together these two documents will ensure that your event runs safely.

Every event we host has a running order which is shared with you in advance of the event. Our team will work with you to complete the running order and confirm the agreed safety measures for your event are included.

Terms and Conditions

Lastly, our terms and conditions have been updated to address COVID-19 giving you clear guidance and peace of mind on our booking details.
