Pandemic Sciences Institute: a conference case study
This year, OUEV were honoured to work with the Pandemic Sciences Institute
Based on the theme of Collaboration Beyond Boundaries, 400 delegates were welcomed into the Examination Schools across two days, to discover how to work across limitations in research and find practical solutions to global pandemic threats.
A varied programme included plenary sessions with a range of high-profile speakers, parallel workshops on current topics in pandemic sciences, and plenty of opportunities for delegates to network and present their work.
Completed in 1892 by architect Sir Thomas Jackson, the Examination Schools offered the perfect venue solution for this conference. With our three large ‘writing schools’ and 12 smaller breakout rooms, the spaces can easily cater for a large number of people, whilst the Victorian architectural features provide a unique backdrop.
Stepping into the Great Hall with its vaulted ceiling and mosaic flooring, delegates started their conference experience at registration before heading up the marbled staircase to the North School for welcome refreshments. As the main networking and catering space, this room allowed delegates to interact with industry exhibitors and take time to peruse the poster presentation during programme breaks.
As the largest of the three writing schools, the South School can seat up to 440 delegates and was ideal as the plenary lecture space. With a large screen, built in PA system, and high-quality AV set up, keynote speeches were delivered to a high-quality standard, while being livestreamed to audiences across the globe.
OUEV prides itself on working with first-class AV suppliers who ensure the smooth running of all audio and visuals, while also accommodating more technical requirements such as video recordings and hybrid delivery.
In the afternoons, delegates were able to choose between five parallel sessions which took place simultaneously across the downstairs breakout rooms. Averaging a capacity of 60 delegates each, these rooms provide space for more focused workshops and talks, allowing conference organisers to offer a more varied programme. Each breakout room is equipped with a projector, screen and AV lectern, allowing speakers to present their research fully.
Making full use of the venues’ full potential, Room 5a acted as the conference office, providing a central space for organisers and volunteers to convene and delegates to raise any queries. Further along the corridors, Room 8 was a dedicated media room for videographers to capture interviews and content, feeding into post event communications.
